Description:In this role the ideal Administrative Assistant will have a variety of general responsibilities including handing the reception, setting up conference rooms for client meetings, taking notes in meetings, answer calls and assisting clients, handling light HR i9/orientation/ etc., set up PowerPoint presentations, light reporting in Excel, and typing correspondence in MS Word.Provide general administrative support for a large engineering consulting office, including:o Greet clients, vendors, recruits and other visitors in a courteous and professional mannero Answer the main switchboard and route incoming calls to appropriate personnelo Assist with scheduling meetings and preparing conference rooms along with visitor logisticso Provide assistance with travel arrangements and maintaining an up-to-date Outlook travel calendaro Process incoming and outgoing courier (FedEx/UPS), fax, and U.S. mailo Keep lobby/office areas neat and orderlyo Manage internal parking programo Maintain, track and order office supplies and equipmento Track material costs utilized by our project teams and generate monthly reportso Create and update articles to intranet along with PowerPoint presentation updateso Support emergency action plan updates and communicationso Support planning and execution of team events and celebrationso Support interview process and new professional on boardingo Prepare project manuals, binders and documentation packages as requiredSkills:Meetings, notes, clerical, excel, Administrative supportTop Skills Details:Meetings, notes, clerical, excel
